What is Med-Track ?

Med-Track is a Health Monitoring Program administered by International SOS in Paris, France for Schlumberger's high mobility population.

Med-Track is a medical examination or health assessment that can be performed in any medical center. It can also be performed in any of the International SOS recommended medical centers.
The objective of Med-Track is to ensure that high mobility staff employees and their dependents, where applicable, are fit to travel, work and live outside their home country and to maintain a confidential medical record for each individual that can be used in case of emergencies, hospitalization or medical evacuation.

Med-Track is mandatory for all high mobility employees.

Med-Track Plus medical examination is reserved for high mobility people over 40 years of age and which includes additional tests to detect certain cancers and other issues in this age group (cardio-vascular problems, glaucoma, etc.). Note: High mobility employees working in the USA, Canada, UK or Scandinavian countries (NSG Geomarket) must volunteer and provide a consent form to their Personnel manager in order to be in the Med-Track program and have their medical data stored in the confidential Med-Track database (eMed-Track website). Note: Home Country Residents (HCR) and Home Country Commuters (HCC) spending less than 30 days per year outside of their home country of permanent residence are managed by the Schlumberger Country Doctors. These HCR and HCC employees will be uploaded progressively in the eMed-Track website in the coming years by Schlumberger country Doctors.

Paying for Med-Track medical examination and getting reimbursed

CIGNA reimburses medical bills, including Med-Track medical examinations, for Schlumberger international employees (IM, IC, and GM) and their dependents, where applicable, upon receipt of proof of payment.

Important: In order to qualify as a Health Check up and to obtain 100% reimbursement by CIGNA all Med-Track tests must be completed within 30 days of the initial consultation. Med-Track tests taken more than 30 days after the initial consultation will not be considered as part of the Med-Track Health Check up but will be considered as regular outpatient treatment and reimbursed at 80% of usual and customary rate (UCR) as per plan rules.

High mobility employees belonging to MI Swaco, Smith or Geoservices will be reimbursed by their usual health care plan.

Medical bills for other high mobility employees are reimbursed by the working location upon receipt of an Expense Claim and proof of payment.

Any additional tests performed during a Med-Track medical examination that are not part of the standard physical must be medically justified by the examining physician (medical prescription provided) to obtain reimbursement by either CIGNA or the Schlumberger location.

New Hires must send the receipt to the Schlumberger recruiter or location that has recruited them.

Reimbursement and payment of Med-Track expenses may vary in certain segments (e.g. Geoservices, MI Swaco, Smith, etc.). Check with your HSE manager.

Frequency of Physicals

The Med-Track medical examination must be performed upon pre-employment in order to assess the fitness to work of the potential New Hire.
The regular or periodic Med-Track medical examination must be repeated every 3 years where legally acceptable, although in some cases, employees may need to undergo a Med-Track more often.

The Med-Track Plus medical examination should ideally be repeated every 3 years for employees and eligible dependents over 40 years of age.

The Day of the Med-Track Physical - Documents to download

Do not eat before the physical. You must be fasting for your blood test. You should not eat breakfast, but drinking a glass of water is fine.
You will be asked to provide a stool sample.
Please keep X-rays and other medical files that may be handed to you. Do not send them to International SOS or the Schlumberger medical department.
Pay your bill and make sure you get a receipt to send to CIGNA or to your location along with your Expense Claim.

Note: The Med-Track questionnaire can be completed by the employee on-line (personal data, medical history, vaccinations, etc.). The medical part (physician's report, lab analysis, fitness conclusions) can also be completed on-line by the examining doctor. In this case he/she should register as a Doctor/Medical Center in order to create his/her User Name and Password.
Then he/she can enter the Security ID of the Patient's exam that will allow the data capture of medical results. This Security ID should be provided by the Patient.
At the end of the on-line process there is no need to send a scanned eletronic copy or hard copy of the Med-Track report to International SOS.

Where to send the Med-Track report

The Med-Track report should be sent to International SOS in France.
The Med-Track Box is the recommended manner for getting your Med-Track report to International SOS. It is easy to use, fast efficient, with no file size limitation (works only for Internet Explorer).
Once you have scanned and uploaded your Med-Track report into the Med-Track Box you will receive confirmation of reception from International SOS.

Processing the Med-Track Report

Upon receipt of the information, the Med-Track report will be processed by an International SOS doctor and uploaded into the Med-Track database (eMed-Track).
Should there be any major health problems or fitness issues, the reports will be sent to the International Health Coordinator who may eventually contact the employee to inform him/her of a medical problem requiring treatment or a specialized consultation.
When required and with the employee's authorization, the employee's HSE and/or personnel manager will be contacted in order to discuss a modification in the type of work or the working conditions (location, climate, etc.).There is no transfer of confidential medical information between the doctor and the managers.

The Med-Track examination date will automatically be uploaded in QUEST by International SOS within 10 business days following reception of the complete Med-Track report. Incomplete Med-Track reports may delay uploading into QUEST. No confidential medical information or diagnosis appears in QUEST.
Fitness to work definitions (fit, unfit, restricted, pending) will be posted on Career Profile and accessible only to Personnel managers for decisions concerning work assignments. No confidential medical information or diagnosis appears in Career Profile.

What is Med-Track Plus

If you are over 40 years of age, and only if you are over 40 years of age, and you are an IM, IC, GM or HCM employee, Schlumberger is offering you and your dependent (if she travels or lives abroad with you during your assignment), the possibility of performing a more in-depth medical checkup in addition to your standard Med-Track physical once every 3 years. This is called "Med-Track Plus".

Standard Med-Track physicals and all scientific studies show that certain medical problems occur more frequently in men and women over 40 years of age.

The Med-Track Plus program targets certain health issues which are more common in men and women over 40 years of age - in particular the increased risk of glaucoma, cancer and cardio-vascular diseases.

Note: Med-Track Plus is not available to Home Country Resident (HCR) and Home Country Commuter (HCC) employees.

Is Med-Track Plus mandatory?
No, the medical tests included in the Med-Track Plus are not mandatory.

Do I still need to do the standard Med-Track physical every 3 years?
Yes, the standard Med-Track physical must still be performed every 3 years to validate fitness to work.

When should Med-Track Plus be performed?
The Med-Track Plus should be performed every 3 years, at the same time as the standard Med-Track examination.

Where can the Med-Track Plus be performed?
Not all medical centers performing the standard Med-Track examination have the specialists or equipment to perform the Med-Track Plus.
Check with the doctor who performs your standard Med-Track whether his medical facility is capable of doing the Med-Track Plus tests or ask him to refer you to the appropriate specialists or medical center.

Can Med-Track Plus be performed with the same level of quality all over the world?
No. Not all medical centers around the world can perform the exams listed in Med-Track Plus with a high level of quality.

Discuss with the doctor performing the standard Med-Track if their facility is equipped to perform the additional tests. If the facility performing the standard Med-Track cannot do the exams in Med-Track Plus these can be organized in another medical center by the employee/dependent.

International SOS and Schlumberger have no control over the quality of medical testing in medical centers around the world.

Payment and reimbursement of Med-Track Plus:

Will Schlumberger pay for any additional travel or lodging required by the Med-Track Plus physical?
No, Schlumberger and CIGNA will not pay travel or lodging costs incurred by the Med-Track Plus exam. This must be paid by the employee.

Reclaiming Expenses of Med-Track Plus

The cost of the Med-Track Plus will be covered if done once every 3 years:

In all cases, a detailed bill from the doctor/clinic/hospital must be provided in order to claim reimbursement.

What tests are proposed in Med-Track Plus and what do they test for?

Tonometry: must be done by an ophthalmologist - tests for glaucoma, a disease that can lead to blindness

Additional blood tests:

Functional Respiratory Testing: detects any important reduction in functioning of lungs - predictive particularly for smokers cardio-vascular risk factors.
Stress Test (electrocardiogram on a treadmill or bicycle): tests the heart's endurance and can detect the clogging of a coronary artery.
Carotid Echo-Doppler: detects any clogging of the arteries in the neck
Cardiac Echography: assesses the correct functioning of the heart muscle and valves
Abdominal and pelvic echography: detects any abnormality in the abdomen and pelvic areas

Becoming a Member of Med-Track

International SOS automatically receives employee information on a regular basis from SAP (Personnel database) and QUEST.
Each eligible employee automatically receives an email from International SOS with his/her EMedTrack ID which then allows for a first time registration and creation of your a username and password into the Med-Track web application.
Employees who are not Med-Track members cannot register on their own.

Accessing my Med-Track report online?

Go to the following url:

Follow the registration instructions provided by International SOS in their introductory e-mail which included your EMed-Track ID.
The EMed-Track ID is your own security ID which allows you to proceed with your first registration or log in on the Med-Track web site. Once you have performed your first registration, you can create your own user name and password and the EMed-Track ID is no longer needed.

What do I do if I have lost my International SOS - provided password?

Click on "Forgot your password? Retrieve it" in the Med-Track website homepage.
The system will request your User Name.
Enter your User Name.
If you do not remember your User Name, Click on the section Forgot User Name.
You will be requested to enter your Schlumberger e-mail address name@slb.com
Enter your Schlumberger e-mail address name@slb.com
Your User Name will be sent to this e-mail address.
The system will ask you to answer 2 security questions.
An e-mail will be sent to you containing a temporary password.
Log into the eMed-Track website with

You will be able to access your personal Med-Track record.
Do not forget to go in the section Manage Profile and change your password so that you remember it next time you wish to log in.

Confidentiality

International SOS Assistance manages all medical information for the eMed-Track program.
Examination result details are not communicated to HSE or Personnel managers unless there is a major public health concern that threatens the safety and health of other people and your consent has been provided.

Can an employee be released if he/she is judged unfit?

The company handles this problem on a case-by-case basis, usually reassigning people from a high risk location (e.g. rig or remote location) to a low health risk location (e.g. office job).
If the problem is considered to be very serious and a reassignment deemed impossible, the employee will be placed on long-term disability.

Does the physical include HIV testing?

There is no HIV, hepatitis B and C testing unless requested by the employee or if it is a requirement in the country of assignment (e.g. visa requirement for certain Middle East and CIS countries). The company cannot legally require HIV, hepatitis B and C testing due to International Labor Organization regulations.
If performed results of HIV, hepatitis B and C testing remain completely confidential. People who test positive for HIV, hepatitis B or C will not be assigned to work in certain countries (e.g. Middle East, CIS).

Does the physical include drug testing?

Drug screening is performed systematically only upon pre-employment physicals and only where legally applicable. There is no drug screening on periodic physicals.

Why is the examining doctor's fitness status not always the same as that of International SOS?

The examining doctor will provide his fitness conclusions and provide a Temporary Certificate of Fitness to the employee and to International SOS.
International SOS will review the Med-Track report using the "Guidelines of Medical Fitness to Work in the Oil Industry".
In cases where there are significant health issues the Med-Track report will be forwarded to and reviewed by the Schlumberger International Health Coordinator.
At the end of the review process a Definitive Certificate of Fitness, also known as a Medical Compliance Certificate, will be created and posted in the employee's personal Med Track file where it can be downloaded by the employee.

The Definitive Fitness to work conclusion may differ from the Temporary Fitness to work certificate delivered by the examining doctor.
Only the Definitive Fitness to Work certificate or Medical Compliance Certificate delivered by ISOS will be valid and will define the employee's fitness to work.

How do I know if I have a health problem following my physical?

The International SOS medical reviewer (a doctor) or the Schlumberger International Health Coordinator will contact you either via the Employee's Med-Track page or by e-mail in order to inform you of any eventual important health problem. Advice or recommendations may be provided.
In some cases it may be requested that you see a specialist or that you or your treating physician contact ISOS or the Schlumberger International Health Coordinator in order to discuss and resolve the issue.

I appear as being "Timed Out" in Med-Track. What does this mean?

The term "Timed Out" refers to Pre-Employee Med-Tracks for new hires.
Normally, new hires are required to perform their Med-Track within 120 days. If after 120 days new hires have still not been added to the covered population list provided by Schlumberger they will appear as "Timed Out". They can, however, continue to access the Med-Track website for an additional 90 days in order to retrieve personal data.
