The Med-Track Process for Doctors : Getting Started
Your Medical Center - Standards
- International SOS recommended medical centers should have a contact person fully informed of the Med-Track program who is able to answer questions from the employee or dependent.
- Staff should be polite, patient and flexible when speaking with the employee or dependent. Remember, Schlumberger employees and their families generally confront difficult, hostile or isolated conditions in remote, high health risk locations and may be new to the country, region or workplace as well as the medical center.
- Staff should inform the employee or dependent of the specific hours, days or weeks Med-Track checkups are conducted, as some clinics may have an agreement with the local Schlumberger office.
- Staff should recommend that checkups be scheduled for the morning to facilitate the fasting restrictions.
- The employee or dependent should refrain from eating or drinking (except water) for 12 hours prior to the time of the medical visit. (No breakfast if a morning visit.)
- Staff should inform the employee of the cost of Med-Track at the time the appointment is made.
- Staff should remind the employee/dependent to bring his/her International Certificate of Vaccination in order to have accurate vaccination history available.
- If employees/dependents have any questions about the procedure, the contact person in the medical center should be able to respond.

- Staff should inform the employee or dependent if they will use the online eMed-Track website to fill out, validate and process the Med-Track results online.
Using the eMed-Track website to manage the patient's Med-Track results
- If you are a first-time user, please register as a Doctor/Medical Center in order to create your User Name and Password.
- Log in to the application.
- Click on Enter Exam Results on the left-hand menu and enter the Security ID of the Patient's exam. This Security ID will be provided by the Patient.
- Review with the patient the Medical History and Vaccination tabs.
- Enter the patient's medical results online under the Medical Exam Tab. For assistance, click on Help at the bottom of the page.
- You may enter the patient's medical results over more than one session. Please remember to save your work after each session.
- To see your incomplete medical reports, click on Saved Exams on the left-hand menu.
- Once you have completed the medical report and provided a fitness conclusion, you can submit the report online to International SOS.
Important : If you wish to save an electronic copy of the medical report, you may do so right after submitting the report online. If you do not save upon submission, you will no longer have access to the medical report.
Using hard copy documents to manage the patient's Med-Track results
- Staff should remind the employee/dependent to download the hard copy Med-Track package from the website.
- The personal information (“To be completed by the Employee”), medical history and release form must be filled out and signed by the employee/dependent before the medical visit.
- Potential New Hires/pre-employees should bring their hard copy Certificate of Fitness, Drug Testing Letter for pre-employment physicals and Guidelines of Medical Fitness to Work in the Oil Industry.
Reception and Welcome
The medical center staff should:
- welcome employees at the reception and efficiently coordinate the check-in procedures.
- dedicate, where possible, a separate area of the medical center for check-ups and Med-Track services.
- organize efficient patient flow throughout the Med-Track area (i.e. move smoothly from one test to another, provide a separate waiting room out of the flow of other patients and/or visitors, timing, etc.).
- provide a comfortable and safe patient environment with:
- comfortable seats in the waiting room.
- adequate reading material, TV or music.
- bathrobes and slippers.
- clean and pleasant changing areas with secure and neat storage for personal clothing.
- mirror/sink/towels/toilet/shower facility (if possible), etc.
- breakfast after blood sampling.
The Examining Doctor or Medical Provider
The Examining Doctor or Medical Provider should:
- review the employee’s/dependent’s administrative information, vaccination history
- review the employee's/dependent’s past medical history in the presence of the employee/dependent
- ensure that the employee/dependent has read and signed the Consent Form allowing transmission of the Med-Track questionnaire to INTERNATIONAL SOS and to the Schlumberger Medical department
- examine the employee/dependent thoroughly in a timely and professional manner.
- spend time at the end of the examination in order to explain his/her findings.
- provide advice based on the findings (ex: diet for high cholesterol; treatment for parasite in the stools; further tests required (stress test for an abnormal resting EKG); need for specialized consultation (colonoscopy for blood in stools)).
- fill in the Med-Track questionnaire using the online eMed-Track website or the printed hard copy of the questionnaire
- will conclude with the employee’s/dependent’s overall fitness status based upon the Guidelines of Medical Fitness to Work in the Oil Industry
- fill in the Certificate of fitness and provide two copies to the employee (one for the employee and one for his company).
